Drilldown is a website and iPhone app that coaches use to run a team: the schedule, the roster, the playbook, game film and statistics. This policy explains what information Drilldown keeps, why, who it is shared with, and how to have it corrected or deleted. "Drilldown", "we" and "us" mean the operator of drilldownsports.com and app.drilldownsports.com.
Who puts information into Drilldown
Most of what Drilldown holds is entered by a team's coaches: who is on the roster, how to reach them, and what happened on the field. Players and parents get an account when a coach invites them. Drilldown is a tool for teams; it is not offered to children directly, and a child does not sign up for Drilldown on their own.
What we keep
| What | Examples | Why |
|---|---|---|
| Accounts | Username, name, email address, a scrambled (hashed) form of the password, when you last signed in, and the type of browser or device a session was opened from | To sign you in and keep your account secure |
| Team and roster | Players' and staff names, jersey numbers, positions, grade, height and weight, pictures, and, where a coach adds them, email addresses and phone numbers for players and family contacts | So the team can be organized and reached |
| Schedule | Games, practices, events, places and times | To run the season and notify the team of changes |
| Film and statistics | Game film a coach uploads or records, links to film on YouTube, charted plays, which players were on them, drawings on the film, and the statistics calculated from them | To break down games and report statistics |
| Messages | Team chat messages and announcements | So the team can talk to each other |
| Recruiting | A player's highlight reel and statistics, when the player, a parent or a coach builds one | So it can be shared with college coaches |
We do not use advertising, we do not track you across other websites, and we do not use analytics services. Drilldown sets one cookie, which keeps you signed in.
Who can see it
- Within a team, what someone sees depends on their role. Coaches see the whole team, including contact details. Players and parents see the schedule, the roster without contact details, and the film and statistics their plan and role allow. Film a coach has not published is visible only to the coaches.
- A recruiting reel is visible to anyone who has its link once it has been shared, because that is its purpose. Sharing can be turned off, and the link then stops working.
- Outside the team, nobody sees a team's information except the service providers below, and only for the work they do for us.
Service providers
We use a small number of companies to run Drilldown. They handle information only to provide their service to us.
| Provider | What they do |
|---|---|
| DigitalOcean | Hosts the Drilldown server and its database (in the United States) |
| Cloudflare | Delivers the website securely, manages the domain, stores game film and backups, and forwards email sent to our address |
| Resend | Sends Drilldown's emails, such as schedule changes, account confirmations and password resets |
| Anthropic | When a coach runs the Smart Video Analyzer, still frames from that game's film are sent to Anthropic's AI model to help identify plays |
| When a coach searches for a game's address, the search text is sent to Google Maps. Film linked from YouTube is played by YouTube's own player, under Google's privacy policy |
We do not sell personal information, and we do not share it for advertising.
How long we keep it
Team information is kept while the team uses Drilldown. When something is deleted it is removed from Drilldown straight away, but it can remain in our backups for a time: daily backups are kept for 30 days, and a monthly backup is kept longer term so the service can be restored if something goes wrong. Backups are private and are not used for anything else. Game film is not included in backups.
Keeping it safe
Drilldown is served only over encrypted connections (HTTPS). Passwords are never stored in readable form. Film and backups are kept in private storage that is not publicly reachable, and film is played through links that expire. Access to the server is limited to Drilldown's operator.
Children
Drilldown holds information about players who may be under 18, entered by their coaches or by the player's own family. Coaches should enter only what the team needs. A player under 13 should be given their own account only with a parent's permission. A parent or guardian can ask us at any time to see, correct or delete their child's information, using the address below. We will act on it, and let the coach know where that affects the team.
Your choices
- See or correct your information: much of it can be changed in Drilldown itself; otherwise ask your coach or write to us.
- Delete your account or a player's information: write to us, and we will delete it from Drilldown and tell you when it is done.
- Emails: schedule notifications can be turned off for a person by their coach, or by asking us.
Changes
If we change this policy, we will update the date at the top. If a change affects how your information is used, we will tell account holders by email before it takes effect.
